Short answer: case management gives each operational item a durable record of ownership, state, evidence, communication and next action from the first signal to the final outcome.
Tasks alone lose the context
A task can say “call customer” or “request proof”. It rarely explains the commercial context, the decision already made, the evidence still missing or the relationship to the original transaction. When work moves between people, that context is easily lost.
A case preserves the whole operating story. It can link to an order, invoice, asset, inspection, claim or customer while keeping the work itself visible.
The anatomy of a useful case
- Trigger: the event that started the work.
- Owner: the person or role accountable for the next move.
- State: the current stage and what must happen next.
- Evidence: documents, photos, notes and approvals attached to context.
- Rules: the policy that routes, reminds or escalates.
- Audit trail: a reliable history of movement and decisions.
Where cases create leverage
Cases are especially effective when the work is exception-led: collection promises, complaints, inspection findings, missing supplier proof, service failures, claims and asset incidents. They make it possible to manage the same process across many records without treating every situation as an email thread.

Will this add administration?
It should remove it. Capture the minimum information at the point of work, then let rules and context carry it forward.
How does a case close?
It closes when the required decision, evidence and communication are complete, not merely when someone marks a task done.
